About the Role
We’re looking for a proactive and detail-oriented Operations Admin to support our kitchen logistics and vendor coordination. You will play a key role in ensuring accurate, real-time documentation of our daily operations through our internal system, gaiafoodtech.
As Gaia Eats evolves into an AI-first company, you will work closely with our intelligent systems to streamline inventory tracking, invoice validation, and vendor payments. This role requires someone who is hands-on, reliable, and eager to work with technology.
Responsibilities
- Documentation & Tracking
- Receive, verify, and document all goods delivered to the kitchen.
- Issue Goods Received Notes (GRNs) through gaiafoodtech.
- Match delivery items with Purchase Orders (POs).
- Upload and organize vendor invoices.
- AI System Integration
- Review AI-generated insights on stock discrepancies and supplier issues.
- Approve or flag AI-suggested GRNs or invoice matches.
- Collaborate with internal chatbots or dashboards for daily ops updates.
- Vendor Management
- Track payment statuses and maintain invoice checklists.
- Communicate with suppliers regarding discrepancies, delays, or returns.
- Maintain records of outstanding or disputed invoices.
- Internal Collaboration
- Update kitchen team on delivery status and missing items.
- Flag urgent restock needs for procurement.
Required Skills & Traits
- Experience in F&B operations, logistics, or administrative support.
- Familiarity with digital tools (Google Sheets, internal dashboards).
- Comfortable learning and working with AI-assisted tools.
- Strong organizational and communication skills.
- Fluent in English and [local language].
