General Affair Assistant

Key Responsibilities:

Security

  • Monitor security attendance, watchman clock and CCTV.
  • Arrange security helpers and replacements with contractors.
  • Conduct briefings for new security staff.
  • Ensure monthly billings and credit notes are processed.
  • Check and maintain records for gate passes, visitor passes, exit passes and other security documents.

Cleaner

  • Arrange cleaners’ schedules.
  • Monitor cleaners’ attendance and performance.
  • Arrange replacements with contractors in case of absence.
  • Ensure monthly billings and credit notes are processed.

Canteen

  • Ensure all canteen facilities are well maintained.
  • Prepare documents for canteen food allowance payments.
  • Attend to complaints related to the canteen.
  • Ensure canteen cleanliness at all times.

Scrap, General & Scheduled Waste

  • Prepare invoices, delivery orders (DO) and gate passes for contractors and forwarders.
  • Arrange contractors to collect general waste at Plant 1 and Plant 2.
  • Oversee scrap sales such as copper, wire, PVC, plastic, cotton, etc.
  • Handle scheduled waste in compliance with the First Schedule of the Environmental Quality Act 1974.
  • Manage scrap equipment and machine forms.

Licenses & Agreements

  • Monitor expiry dates and ensure timely renewal of contracts.
  • Handle the stamping process and collect license certificates.
  • Raise and process purchase requisitions (PR) as required.

Contractors & Vendors

  • Contact and supervise contractors’ work.
  • Issue permits to work for contractors.
  • Raise purchase requisitions (PR) and liaise with the Finance Department for payment processing.

Workers’ Hostel

  • Oversee the maintenance and cleanliness of workers’ hostels.
  • Monitor hostel facilities and ensure compliance with safety and health standards.
  • Arrange repairs, replacements or improvements as required.
  • Manage occupancy records and assignments of hostel rooms.
  • Handle workers’ complaints and liaise with contractors for hostel services.

Office & Facility Management

  • Manage office supplies, stationery and pantry items.
  • Oversee maintenance of office equipment, furniture and facilities.
  • Ensure proper use and upkeep of company assets such as vehicles and tools.
  • Coordinate transportation and travel arrangements for employees.
  • Liaise with service providers for utilities, pest control, landscaping and other facility-related services.

Support company events, meetings and staff activities with logistical arrangements.
