About the role
Swiss-Garden International Hotels, Resorts & Inns is seeking a dynamic and creative Events Coordinator to join our management team at Damai Laut Golf & Country Club. This is a full-time position based in Hulu Perak District, Perak. In this role, you will be responsible for planning, coordinating and executing a wide range of events, from corporate functions and conferences to social gatherings and hotel celebrations. You will work closely with various departments to ensure every event runs seamlessly and exceeds our guests’ expectations. This position is integral to enhancing the guest experience and contributing to the hotel’s reputation as a premier events venue.
Key responsibilities
- Planning and coordinating all aspects of events, including venue setup, catering arrangements, audio-visual requirements and guest logistics
- Liaising with clients to understand their event objectives, budgets and specific requirements, providing professional guidance and recommendations
- Managing event timelines and ensuring all preparations are completed on schedule and within budget
- Coordinating with internal departments including food and beverage, housekeeping, maintenance and front office to ensure seamless event execution
- Overseeing event day operations, including greeting guests, managing event staff and resolving any issues that arise
- Maintaining detailed event records, contracts and documentation for future reference and client follow-up
- Managing event budgets, vendor invoices and ensuring cost-effective resource allocation
- Building and maintaining strong relationships with external vendors, suppliers and service providers
- Promoting hotel event services and packages to potential clients through sales outreach and networking
- Gathering feedback from clients post-event and implementing improvements for future occasions
What we’re looking for
- Proven experience of 2-3 years working as an events coordinator or similar events management role within the hospitality industry
- Excellent organisational and project management skills with the ability to manage multiple events simultaneously
- Strong communication and interpersonal abilities, with proficiency in dealing with clients, staff and vendors
- Proficiency in events management software and Microsoft Office applications
- Detailed attention to detail and exceptional problem-solving capabilities
- Flexibility to work outside standard business hours, including evenings, weekends and public holidays as required by event schedules
- A professional demeanour and ability to remain calm under pressure in fast-paced environments
- Knowledge of current event trends, catering options and venue capabilities within the hospitality sector
- Preferred: Certification in event planning or hospitality management
- Preferred: Experience with hotel operations and familiarity with resort or upscale hospitality venues
