Accounts Payable (AP) Executive – Singapore Client Portfolio

Job Summary

We are looking for a meticulous and client-focused Accounts Payable Executive to join our growing FAO team. In this role, you will manage end-to-end AP functions for multiple clients across various industries (e.g., retail, trading, professional services, manufacturing). You will ensure that all invoices, staff claims, and payments are processed accurately, on time, and in compliance with Singapore GST regulations, client policies, and strict SLA deadlines.

This is a client-facing operational role requiring adaptability, volume management, and strong communication skills.

Key Job Responsibilities

1. Invoice Processing for Multiple Clients

  • Receive, verify, and process vendor invoices for multiple client entities, ensuring proper approvals and supporting documents (e.g., purchase orders, delivery orders) are attached.
  • Perform 2-way or 3-way matching (PO → DO/GRN → Invoice) as required per client.
  • Accurately code invoices to the correct General Ledger (GL) accounts, cost centres, and project codes based on each client’s chart of accounts.
  • Flag and resolve discrepancies (e.g., pricing, quantity, missing GST) by liaising with clients’ procurement teams or vendors directly.

2. GST Compliance (Singapore-Specific)

  • Ensure Singapore GST is correctly applied (e.g., standard-rated, zero-rated, exempt, or out-of-scope) based on client’s GST registration status.
  • Verify vendor GST registration numbers against IRAS’s website when required.
  • Prepare GST reconciliation reports to support client’s quarterly GST filing (Form F5/F8).
  • Maintain proper supporting documents for all GST claims in case of IRAS audits.

3. Payment Processing

  • Prepare and process payment runs (via GIRO, MEPS+, PayNow, or client’s corporate banking portal) on a weekly, bi-weekly, or monthly schedule per client SLA.
  • Ensure payment proposals are reviewed and approved by the client’s authorised signatories (where applicable).
  • Handle urgent or ad-hoc payments (e.g., utility bills, statutory deadlines) with complete audit trails.

4. Client & Vendor Management

  • Serve as the primary contact for vendor inquiries on behalf of clients (e.g., payment status, remittance advice, missing invoices).
  • Reconcile vendor statements to client AP aging reports and resolve outstanding items promptly.
  • Maintain vendor master data across client systems (bank account details, GST registration numbers, payment terms, contact information).

5. Reconciliation & Month-End Close

  • Perform AP sub-ledger to General Ledger reconciliation for each client.
  • Prepare AP aging reports, accruals, prepayment schedules, and unrecorded liabilities for client’s month-end closing.
  • Assist clients with intercompany AP reconciliations where applicable.

6. Reporting & SLA Tracking

  • Maintain daily/weekly trackers showing invoice receipt → booking → approval → payment status per client.
  • Escalate any service delivery risks (e.g., delayed approvals, missing documents, system downtime) to the Team Lead.
  • Prepare AP KPIs for client reporting (e.g., invoices processed per day, % paid within terms, aging >60 days, query resolution time).

7. Process Improvement & System Adaptability

  • Quickly adapt to each client’s ERP or accounting system (e.g., Xero, QuickBooks Online, Netsuite, SAP, Oracle, Tally, or MYOB).
  • Suggest process improvements for invoice capture, approval workflows, or payment batch processing to improve efficiency across clients.

Qualifications & Skills

Education & Experience

  • Diploma or Bachelor’s degree in Accounting, Finance, Business, or related field.
  • 2–4 years of Accounts Payable experience, ideally in a shared service centre, BPO, or outsourcing environment (e.g., handling 5+ clients simultaneously).
  • Experience with Singapore GST regulations will be an added advantage (IRAS rules, tax codes, claiming conditions).
  • Familiarity with withholding tax (WHT) for cross-border payments is a plus.

Technical Skills

  • Proficient in at least two accounting software (e.g., Xero, QuickBooks Online, NetSuite, SAP, MYOB, or AutoCount).
  • Strong Microsoft Excel skills (VLOOKUP, Pivot Tables, SUMIFS, basic formulas) – essential for consolidating multiple clients’ data.
  • Experience with AP automation tools (e.g., Medius, Tipalti, Bill.com, or SAP Concur) is an advantage.
  • Familiarity with document management systems (e.g., Dropbox, Google Drive, SharePoint) for audit trails.

Soft Skills

  • High attention to detail and ability to meet daily/weekly SLAs without compromising accuracy.
  • Excellent written and verbal communication in English (ability to speak Mandarin is a plus for China-linked vendors or clients).
  • Strong organisational and time management skills – able to prioritise across multiple clients.
  • Problem-solving mindset – able to resolve discrepancies without constant escalation.
  • Client-service orientation – professional, responsive, and proactive.
