About the role
KAEFER Group are seeking a highly organised and efficient Administration Assistant to join our team at our offices in Kuala Lumpur City Centre, Kuala Lumpur, Malaysia. This full-time role will provide crucial administrative support to our procurement team, ensuring the smooth running of day-to-day operations.
What you’ll be doing
- Maintain the purchasing inbox and ensure all queries are actioned in a timely manner
- Responsible for the day-to-day purchasing
- To convert purchase requisitions for various sites into purchase orders.
- Processing of invoices via Esker & SRM
- Develops good working relationships with all stakeholders
- Track orders and ensure timely delivery
- Helps maintain data in SAP, SRM & Zoho for the procurement team
- Monitors purchasing policies and procedures to ensure receipt of maximum benefit from expenditures for supplies, equipment and services.
- Monitors price trends of supplies and materials, interviews vendors, recommends sources, timing and quantity of purchases.
What we’re looking for
- At least 2 years of experience in an administrative support role, preferably in a fast-paced office environment
- Proficiency in SAP is highly dsirable
- Strong organisational and time management skills with the ability to prioritise tasks and meet deadlines
- Excellent communication and interpersonal skills, with a professional and friendly demeanour
- Proficient in the use of office software, including Microsoft Office suite particularly MS Excel.
- A keen eye for detail and the ability to work accurately and efficiently
- A proactive and adaptable approach to problem-solving
