IMS DOCUMENT CONTROL COORDINATOR – PENANG

Job Purpose & Scope

  • The Document Control Coordinator is responsible to process all change orders submitted in DCC. He / She must be sensitive to the ISO standards documentation and Customer requirements and ensure the change orders processing is according to the applicable documented procedures and/or work instructions. Overall, the Document Control Coordinator role presents the employee with an opportunity to contribute substantially to the company’s ongoing success as a quality, EHS and effective document control centre.

Key Result Areas

  • Continuous smooth maintenance of all relevant certificates issued by certification and inspection bodies such as External certification bodies, Legal regulated department, and others, with no significant issues/impact. 
  • Key Responsibilities & Job Content; The responsibilities of this role include, but may not be limited to, the following:
  • Responsible to ensure all the drawings and parts for projects are documented and control as per SOP and flow.
  • May involve in conduct audits on suppliers and implement ways for continuous improvement.
  • The responsibilities of this role include, but may not be limited to, the following:
  • Responsible for maintaining document control activities in Server share drive.
  • Process documentation changes in DCC: Ensure electronic capture and retrieval of quality documents and records by reviewing, evaluating, and processing changes accurately and in a timely manner while ensuring that they meet the department goals and objectives.
  • Review changes to ensure that language used in the change is adequate and in compliance. Ensure that changes are in a closed loop and all discrepancies (if any) are addressed and closed before the change is released.
  • Provide clear and accurate communication to internal customers. Clearly communicate both verbally and in writing, with Originators when discrepancies are found. Give precise guidance to originators on the proper process to follow when to correct issues/discrepancies.
  • Manage daily processing of change materials including but not limited to BOM and IMS documentation.
  • Promptly respond to questions and issues raised by Originators, Reviewers and/or other stakeholders.
  • Provide DCC and change procedure training support as needed to co-workers within and outside Document Control.
  • Involve in Document Control audit either by Registrar, Customer, or any other interested parties.
  • Possible involve in Company Internal Audit activities as an internal auditor.
  • Provide continuous improvement of Document Control processes/procedures in accordance with department and company goals.
  • Lead/participate in projects/assignments that support continuous improvement efforts and department/company goals.
  • Maintain change control training materials up to date.
  • Create and maintain change control metrics and report.
  • Performs other duties as assigned.
  • Proactively involve on plan IMS meeting and MR Meeting
  • Able to draft minutes of MR meeting by QMS Manager
  • Assisting in all ad-hoc tasks as per required

Professional Skills & Personal Competencies  Professional Skills – EssentialProfessional Skills – Desirable                                  (consider for future development)

  • Minimum Diploma or Degree in any discipline
  • 1+ years of experience working on document control/administrative tasks, an environment with office and virtual experience is preferred.
  • Knowledge of ISO9001/ISO14001/ISO45001 documentation requirements will be an added advantage.
  • Computer skills – Proficient using Word, Excel, PowerPoint applications, and Windows operating system
  • Ability to work independently with multiple departments to resolve Document Control issues.
  • Must be able to work effectively in a fast-paced, team-oriented environment.
  • Well-developed English, Bahasa Malaysia written and verbal communication skills.
  • Mandarin speaking and written also considered.
  • Ability to multi-task and meet deadlines.

Communication and Working Relationships

  • The DCC is part of the IMS team, and reports to the QMS Manager in the SIBS plant.
  • This position has relationship with EHS, Sourcing, HR, Purchasing, Engineering, Facility/Mtn, IT, Finance, Production, Logistic & Warehouse focusing SIBS organisation.
  • The DCC may interact with suppliers and certification/inspection bodies.
  • The DCC may also has relationship with other Quality/QC departmental personnel throughout SIBS.
