Job Responsibilities

As a Supply Chain & Logistics Executive, you will be responsible for managing procurement, logistics coordination, inventory planning, import/export documentation, and operational administration to ensure smooth supply chain operations.

Key Responsibilities

Procurement & Costing Management

  • Source and negotiate competitive pricing from suppliers for trade and non-trade products.
  • Evaluate supplier quotations, product specifications, pricing, and expiry details.
  • Coordinate with suppliers on lead times, stock availability, and procurement planning.
  • Monitor landed costs including freight, duties, and operational expenses.

Purchase Order & Inventory Coordination

  • Review customer Purchase Orders (PO) and coordinate stock ordering for fulfillment.
  • Plan inventory requirements to support delivery schedules and customer demand.
  • Monitor stock movement and coordinate with warehouse operations for inbound and outbound inventory.

Logistics & Shipment Coordination

  • Coordinate local and international inbound/outbound shipments.
  • Optimize order and delivery schedules to improve logistics cost efficiency.
  • Arrange transportation, shipping schedules, container bookings, and delivery planning.
  • Liaise with transporters, shipping lines, freight forwarders, and logistics providers.

Administration & Documentation

  • Prepare and manage operational documents including PO, GRN, CN, Goods Return, Delivery Orders, and invoices.
  • Maintain proper filing and documentation records for operational and shipment activities.
  • Consolidate operational information and coordinate submissions to the Finance Department.

Import & Export Regulatory Compliance

  • Handle import and export shipment documentation in compliance with Malaysian regulations.
  • Liaise with authorities such as Ministry of Health Malaysia (MOH), Department of Veterinary Services Malaysia (DVS), Malaysian Quarantine and Inspection Services (MAQIS), and Customs for permits and shipment clearance.
  • Ensure compliance with sea freight and air freight operational procedures.

Freight Forwarding & Shipping Management

  • Coordinate closely with freight forwarding and logistics agents for shipment execution.
  • Manage shipping documentation including Bill of Lading (BL), Air Waybill (AWB), Packing Lists, and Commercial Invoices.
  • Monitor shipment progress and resolve logistics-related issues promptly.

Requirements

  • Diploma or Bachelor’s Degree in Supply Chain Management, Logistics, Business Administration, or related field.
  • Minimum 2–4 years of working experience in supply chain, logistics, procurement, or import/export operations.
  • Familiar with shipping documentation, freight forwarding, and customs clearance procedures.
  • Experience dealing with regulatory authorities such as MOH, DVS, MAQIS, and Customs is an added advantage.
  • Good communication and coordination skills.
  • Strong attention to detail and ability to multitask in a fast-paced environment.
  • Proficient in Microsoft Excel and Microsoft Office applications.
