Receptionist cum Admin Assistant

Job Responsibilities

  • Adhere to the Client policy pertaining to Visitors & Outgoing calls.
  • Follow client’s / Facility manager’s instructions during their client’s visit/occasions.
  • Will be responsible for diverting Incoming & Outgoing calls to the concerned.
  • Responsible for maintaining the confidentiality of client’s employees phone nos.
  • Takes message accurately and see that they reach the proper persons
  • Dial outgoing calls when necessary
  • Co-ordinates with service providers for routine and preventive maintenance of telecommunication and office automation system
  • Gives routine information and directs visitors
  • Receives and signs for registered and insured letters and packages
  • Performs routine clerical tasks, including receiving and sorting mail, stamping outgoing letters, typing reports, memoranda, payrolls, and menus; does filing
  • Maintain records
  • Operating as co-coordinator for help desk
  • Attend phone calls, connecting in coming and out going calls with Office Executives and office staff.
  • Extend courtesy to visitors, direct them to as per their requirement
  • Maintaining of discipline at the reception
  • If necessary, direct the employees/people looking for lost & found items to the in-charge lost & found items of the company.
  • If there is a complaint mgmt. software download complains frequently, contact supervisors/shift engineers. Handover the complaint ASAP. Closing of complaints soon after resolution to ensure closing time within SLA.
  • Assist in any event coordination and registration during business hours.
  • Assist with FMS work order monitoring and closing.
  • Assist in any admin or adhoc work requested by facility executive / facility manager

Requirement

  • Minimum 2 to 5  years of previous experience in a similar type role in FM Industry
  • Proficiency in English (MUST)
  • Develop and maintain very good customer relations with clients
  • Oversee day to day operations at the various sites
  • Provide strong motivational and leadership
  • Prepare and submit relevant reports as required
  • Resolve customer complaints
  • Ensure ISS employees adhere to Company Policies and Procedures & Quality Management System
  • Sound oral and written communication skills
  • Good interpersonal and teamwork skills
  • Self-motivated and resourceful, with the proven ability to multi-task and operate successfully under tight deadlines and time pressures
  • Good computer skills (Word, Excel, Power Point & Email)
