Admin Assistant

Responsibilities

The main duties of the job will be to:

Reception

  • Answer general phone inquiries and direct phone calls to the appropriate staff members

Office & HR administration

  • Write and distribute email, correspondence memos, letters, faxes and forms
  • Data filing
  • Preparation of delivery orders and invoices
  • Prepare and manage procurement process with vendors
  • Manage office administration such as office supplies, renewal of certificates/licenses, company vehicles, insurance and HSE matters
  • Assist in scheduling of employee interviews and handling claims submissions.
  • Coordinate delivery and logistics planning
  • Update and upkeep the inventory stock list
  • Assist in report generation and compilation where necessary
  • Provide secretarial and administrative support to management and other staff

Requirements

  • Min 2 years relevant experience in a similar role
  • Experience in document control management
  • Pleasant personality with good written and verbal communication and interpersonal skills Proactive, take initiative and well organized
  • Mature, with an attention to detail
  • Ability to multi-task and work independently
  • Proficient in MS Office applications (Excel, Words)
