Key Responsibilities:
- Office Support:
- Answer and direct phone calls, emails, and other communications.
- Greet and assist visitors in a professional manner.
- Maintain office supplies inventory and place orders when necessary.
- Assist in scheduling meetings, conference calls, and appointments.
- Document Management:
- Prepare and edit documents, presentations, and reports.
- Organize and maintain filing systems, both digital and physical.
- Handle confidential and sensitive information with discretion.
- Calendar and Travel Management:
- Manage executives’ calendars, ensuring efficient time management.
- Coordinate travel arrangements, including booking flights, hotels, and transportation.
- Communication Support:
- Draft, proofread, and send emails, letters, and other official correspondence.
- Liaise between departments or external clients as needed.
- Meeting Coordination:
- Prepare agendas, take minutes, and distribute meeting notes.
- Coordinate logistics for meetings, conferences, and events.
- Data Entry and Reporting:
- Enter data accurately and manage databases.
- Prepare regular reports and summaries for management review.
- Other Administrative Tasks:
- Handle incoming and outgoing mail and packages.
- Perform additional duties as assigned by the supervisor.
Qualifications and Skills:
- Proven experience as an administrative assistant or similar role.
- Proficient in MS Office (Word, Excel, PowerPoint, Outlook).
- Strong organizational and multitasking skills.
- Excellent verbal and written communication skills.
- Attention to detail and problem-solving skills.
- Ability to prioritize tasks and meet deadlines.
- High level of discretion and professionalism.
- Bachelor’s degree or equivalent work experience preferred.
