Admin Assistant

  • RM 3,000 – RM 4,000 per month

Key Responsibilities:

  • Office Support:
    • Answer and direct phone calls, emails, and other communications.
    • Greet and assist visitors in a professional manner.
    • Maintain office supplies inventory and place orders when necessary.
    • Assist in scheduling meetings, conference calls, and appointments.
  • Document Management:
    • Prepare and edit documents, presentations, and reports.
    • Organize and maintain filing systems, both digital and physical.
    • Handle confidential and sensitive information with discretion.
  • Calendar and Travel Management:
    • Manage executives’ calendars, ensuring efficient time management.
    • Coordinate travel arrangements, including booking flights, hotels, and transportation.
  • Communication Support:
    • Draft, proofread, and send emails, letters, and other official correspondence.
    • Liaise between departments or external clients as needed.
  • Meeting Coordination:
    • Prepare agendas, take minutes, and distribute meeting notes.
    • Coordinate logistics for meetings, conferences, and events.
  • Data Entry and Reporting:
    • Enter data accurately and manage databases.
    • Prepare regular reports and summaries for management review.
  • Other Administrative Tasks:
    • Handle incoming and outgoing mail and packages.
    • Perform additional duties as assigned by the supervisor.

Qualifications and Skills:

  • Proven experience as an administrative assistant or similar role.
  • Proficient in MS Office (Word, Excel, PowerPoint, Outlook).
  • Strong organizational and multitasking skills.
  • Excellent verbal and written communication skills.
  • Attention to detail and problem-solving skills.
  • Ability to prioritize tasks and meet deadlines.
  • High level of discretion and professionalism.
  • Bachelor’s degree or equivalent work experience preferred.
