1. System Configuration and Administration
· Administer and maintain Workday configurations across modules such as Core HCM, Absence, Compensation, Recruitment, Time Tracking, Benefits, Learning, Talent Management and 3rd party integration with Workday.
· Review, test and implement configuration changes to ensure alignment with HR policies, process requirements and digital governance standards.
· Manage system releases and updates by conducting testing, validating functionality and documenting system changes.
· Oversee Workday security administration including monitoring user access, maintaining role assignments and ensuring compliance with data confidentiality requirements.
2. Integration and Data Management
· Oversee and maintain integrations between Workday and third-party systems.
· Troubleshoot and resolve integration-related issues to ensure accurate, secure and timely data exchange via SFTP or API connections.
· Manage encryption key setup, IP whitelisting and connectivity validation to ensure secure data transmission.
· Maintain high data accuracy by conducting periodic audits, validating data integrity and enforcing master data quality standards.
3. Reporting and Analytics
· Develop, enhance and maintain Workday reports and dashboards to support management decision-making and operational visibility.
· Ensure reporting practices comply with data privacy regulations (e.g., PDPA) and corporate governance frameworks.
· Design and manage standardized, ad hoc and strategic HR reports; enhance data visualization tools to support Group Human Resource Management planning and performance insights.
4. User Support and Empowerment
· Provide Level 1 and Level 2 Workday support for team KPJ by ensuring timely issue resolution based on the agreed SLA.
· Coordinate, document and track support activities, escalating complex issues to relevant technical teams as needed.
· Support operations by managing escalations, monitoring user experience and driving improvements through proactive system enhancements.
5. Governance and Compliance
· Ensure HRIS operations comply with data protection laws (e.g., PDPA) by implementing robust data accuracy, security and confidentiality controls.
· Support internal and external HR Digital audits through accurate documentation, process traceability and timely evidence submission.
· Maintain compliance with the HR Digital System Usage Policy, Data Privacy Policy and related SOPs.
· Monitor and review system activities, access logs and data change records to ensure continuous compliance and system security.
6. Stakeholder Engagement and Collaboration
· Serve as the liaison between HR business units, IT and external vendors to ensure alignment between business requirements and system design.
· Manage vendor relationships, ensuring adherence to service-level agreements and timely issue resolution.
· Partner with cross-functional teams to ensure smooth delivery of digital HR projects and system improvements.
7. Training, Documentation, and Knowledge Transfer
· Conduct structured training sessions for HR and business users on system functionalities and updates.
· Develop and maintain user manuals, SOPs and configuration guides to ensure operational consistency.
· Mentor and coach team members through knowledge-sharing sessions on configurations, troubleshooting and HRIS best practices.
· Conduct user training and briefing sessions to enhance Workday adoption and digital HR literacy.
8. Continuous Improvement and Projects
· Identify and propose system or process improvements to enhance operational efficiency and user experience.
· Participate in HR digitalisation projects, process automation and Workday enhancement initiatives.
· Collaborate with HR, IT, and business stakeholders to optimize workflows through configuration and integration improvements.
· Support the Head of HR Digital in executing group-level HR digitalisation strategies aligned with organizational goals.
Requirements
- Bachelor’s Degree in Human Resources, Information Systems, Computer Science or a related discipline.
- Workday Certification (e.g., HCM, Reporting or Integration) is an added advantage.
- Minimum 6–8 years of hands-on experience in HRIS or digital HR system management, preferably within large-scale or group-level organisations and Healthcare industry.
- Proven expertise in Workday configuration, reporting and system optimization.
- Experience managing integrations with third-party solutions
- Strong understanding of HR processes across Core HCM, Absence, Compensation, Recruitment, Payroll, Learning and Talent modules.
- Familiarity with HR data analytics, dashboard reporting and data governance practices.
- Advanced proficiency in tools such as Microsoft Excel, Power BI, or relevant analytics platforms.

- Strong ability to configure, troubleshoot, and enhance HRIS functionalities independently.
- Skilled in supporting end-to-end HRIS projects including planning, UAT, deployment and post-launch support.
- Analytical mindset with the ability to interpret complex data for insights and recommendations.
- Knowledge of both qualitative and quantitative HR data methodologies to support evidence-based decisions.
Communication and Interpersonal Skills
- Excellent communication skills with the ability to present technical matters to senior and non-technical stakeholders.
- Strong stakeholder management and facilitation abilities.
- Demonstrated capability to influence and guide change through collaboration and digital advocacy.
