Main responsibilities:
Assist and support the State Manager (SM) & PAAB Selangor staff in daily operations and all clerical & administrative tasks.
Tasks:
1. Perform general administrative and clerical duties.
2. Record, update, monitor and manage project correspondence in hardcopy and digital formats, such as incoming and outgoing documents, distribution, updates and scanning.
3. Answer telephones, provide information to callers, take messages or transfer calls to appropriate individuals.
4. Assist the SM in liaising, coordinating and communicating with consulting engineers, office support personnel, government bodies and local authorities.
5. Update and manage schedules/calendars and ensure everything is in order.
6. Monitor and ensure that all administrative and clerical duties, such as filing, duplicating materials and receiving and transmitting messages and data, are performed smoothly for all projects.
7. Contribute to the team effort by accomplishing related results as needed.
8. Receive and provide information, requirements and matters for the smooth running of the projects.
9. Liaise with internal and external contacts as required.
10. Ensure that office cleanliness and equipment are well-maintained and functioning properly.
11. Update and manage the divisional calendar accordingly.
12. Organize and coordinate meetings, appointments, conferences and travel arrangements.
13. Monitor and handle PAAB Selangor staff matters related to the Human Resources & Administrative (HRA) Division, such as HR matters, staff claims and accommodation arrangements.
14. Perform other related tasks as instructed from time to time by management and/or the immediate superior.
Requirements:
Recognized Diploma or equivalent in a related field;
At least 1 – 2 years’ experience in clerical or administration;
Proficiency in the use of MS Office suite including MS Excel, MS Word and MS PowerPoint;
Proficiency in spoken and written English and Bahasa Malaysia is required;
Being self-motivated, analytical, resourceful and having strong integrity are important qualities; and
A good working attitude and willingness to travel are expected.
