Rental Sales Officer

Qualifications & experience

  • Fresh graduates with strong interest in sales are encouraged to apply.
  • Diploma/Bachelor’s Degree in International Business, Business Administration, Marketing, or related field.
  • Strong communication skills. Able to communicate well both oral and written in English & Bahasa.
  • Willingness to learn, adaptability, and proactive.
  • Have good knowledge with sales processes and customer relationship management system can be advantageous.
  • Computer literate especially in MS Office applications (Excel).

Tasks & responsibilities

Customer Excellence

  • Adhere to all standards and procedures established by the Company including grooming, phone etiquette, greetings, counter cleanliness etc. to portray customer service excellence.
  • Resolving customer complaints and providing customers with clear and instant solutions at the counter level.
  • Escalate any customer complaints in the event of higher authority limit is required.
  • Obtain customer service feedback through a survey crafted by the Customer Relation Management (CRM) platform.
  • Continuously be updated on relevant laws by local authorities and other tourists’ information. Providing information on products and services or any queries that customers may have such as traffic regulations, hotels, restaurants, interesting tourist spots and other inquiries.

Operations

  • Conduct a fleet inventory check every morning, comparing it with the previous evening’s inventory report in the Fleet Management System to ensure that the physical vehicle keys match the number of vehicles. Any discrepancies should be promptly reported to the Branch Head
  • Daily inspect (in the morning) the key drop box and confirm the original rental location of the vehicle using the Fleet Management System
  • Maintain an up-to-date branch master chart for pre-vehicle reservations in a shared point, managed by the Central Region Center (CRC) for the purpose of vehicle preparation and arrangement purposes by CRC.

    This is undertaken to streamline the vehicle preparation and arrangement tasks carried out by the Central Region Center (CRC) for the branches.
  • Check the Fleet Management System for the day’s reservations and ensure that the vehicle is prepared for customer collection within the standard processing time.
  • Generate the rental agreement and secure confirmation from the customer regarding the rental period and agreed-upon rates before the check-out of the Company’s vehicle.
  • Confirm customer documentation before vehicle collection to ensure compliance with the terms and conditions set by the Company.
  • Keep track of and ensure the return of rented vehicles from renters. Update rental extensions if requested by the customer.
  • Ensure that payments are processed accurately and collected promptly, adhering to the Company’s standard payment procedures, including refunds.
  • Promote upselling for Company products and services.
  • Plan and execute counter-promotion for walk-in customer such as discounts, free upgrade (one level) to increase fleet utilisation at the branch level.
  • Generate rental quotations and manage the reservation process for both short-term and long-term rentals for transient customers.
  • Accountable for submitting Daily Branch Reports (DBR) through the Fleet Management System
  • Supporting the Head of Branch in preparing Billing documentation, including Gas Control Sheet (GCS), Car Wash, Car Park, utility bills, etc., for monthly submission to the Finance Department
  • Chase payment for summons (municipal council, PDRM, and JPJ) from customers and provide status updates to the Fleet Admin department.
  • Organize and facilitate transient and lease assignments with customers, including arranging for routine inspections to Puspakom or other designated government bodies, service, maintenance, and accident repairs for exchange vehicles on a semi-annual and/or yearly basis.
  • Supporting the Head of Branch in the allocation of petty cash for branch operations

Financial

  • Attain branch sales goals by engaging in both counter sales and telemarketing efforts to meet financial targets such as revenue and PBIT.
