The IT Administrative Executive will be responsible for managing the day-to-day IT administrative tasks that support the overall IT operations of the company. This role focuses on tasks related to IT documentation, inventory and asset management, training, tracking and management of licenses, subscriptions, and renewals. The ideal candidate will be organized, detail-oriented, and capable of handling multiple responsibilities to ensure smooth and efficient IT operations. 

Job Description:

Documentation and Record-Keeping:

  • Maintain comprehensive and up-to-date documentation of IT processes, systems, and procedures.
  • Document IT policies and ensure they are accessible to relevant stakeholders.
  • Keep detailed records of technical issues, resolutions, and support tickets.

Asset and Inventory Management:

  • Track and manage all IT assets, including hardware, software, and peripheral devices.
  • Maintain accurate inventory logs and perform periodic audits to ensure inventory accuracy.
  • Oversee the lifecycle of IT equipment, including procurement, deployment, and decommissioning.

Training and User Support:

  • Conduct training sessions for employees on IT policies, best practices, and new software or tools.
  • Develop user guides and manuals to assist employees in understanding and using IT resources effectively.
  • Provide basic IT support for administrative issues and escalate more complex technical issues to the appropriate team.

License and Renewal Management:

  • Track and manage the company’s software licenses and subscriptions to ensure compliance.
  • Maintain a calendar of upcoming license renewals, software updates, and subscription expirations.
  • Coordinate with vendors and service providers for renewals, upgrades, and changes.

Service and Subscription Management:

  • Track and manage IT-related services such as domains, SSL certificates, and cloud services.
  • Monitor subscription renewals, costs, and usage to optimize spending and ensure uninterrupted service.
  • Manage communication with service providers to resolve any issues or negotiate service contracts.

Procurement and Vendor Management:

  • Work with vendors and suppliers to procure IT equipment, software, and services.
  • Obtain competitive quotes and negotiate favorable terms and pricing.
  • Manage and maintain records of purchase orders, invoices, and payment schedules.
  • Coordinate with the finance department to ensure timely payments and maintain good vendor relationships.

Invoice and Payment Tracking:

  • Track IT-related invoices and expenses, ensuring accuracy and timely processing.
  • Maintain an organized record of invoices and payment receipts for easy reference.
  • Work with the finance team to reconcile payments and address any discrepancies.

Monitoring and Reporting:

  • Monitor and report on the usage of IT assets, licenses, and services to identify opportunities for cost savings.
  • Prepare regular reports on IT asset inventory, license compliance, and IT spending.
  • Assist in budget planning and forecasting by providing accurate data on IT expenses.

Job Requirement:

  • Diploma or Bachelor’s degree in Information Technology, Business Administration, or a related field. 
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and IT asset management tools.
  • Basic knowledge of IT systems and terminology. 
  • Strong organizational and multitasking abilities.
  • Excellent attention to detail and ability to maintain accurate records.
  • Effective communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Strong problem-solving and analytical skills.
  • Have good documentation and record keeping skills.
