We are currently seeking a motivated and skilled Admin Assistant to support our Head of Operation. This role is essential for ensuring the efficient operation of our property projects and requires flexibility, including travel and handling customer inquiries.

Job Summary:

The Admin Assistant will provide key support to the Head of Operation by managing administrative tasks, handling customer inquiries, and assisting with planning and organizing. The ideal candidate will possess strong skills in Microsoft Office tools and be comfortable with travel and interacting with clients and stakeholders.

Key Responsibilities:

  • Administrative Support: Assist the Head of Operation with daily administrative tasks, especially in dealing with tenant and agent inquiries. Coordinate meetings with tenants as required, ensuring smooth communication and resolution of issues.
  • Customer Inquiries: Handle customer inquiries professionally and efficiently, providing accurate information, resolving issues, or directing them to the appropriate team member.
  • Agent Inquiries: Manage interactions with agents, ensuring they adhere to company requirements and properly screen tenants.
  • Documentation and Reporting: Prepare and maintain accurate documentation, including reports, correspondence, and records related to AceLiving when needed.
  • Communication and Planning: Coordinate and communicate with the cleaner and maintenance team regarding the arrangement of repair work, ensuring timely and efficient completion of maintenance tasks.
  • Office Management: Oversee office supplies, equipment, and other administrative resources to ensure smooth operations.

Requirements:

  • Minimum high school diploma or equivalent; associate or bachelor’s degree in Business Administration or a related field preferred.
  • Previous experience in an administrative role, handling customer inquiries, ideally within property development or a similar industry.
  • Possess a valid driving license.

Skills:

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication abilities (proficiency in Bahasa Malaysia, English, and Mandarin is a plus).
  • Ability to handle customer inquiries with professionalism and tact.

  • Willingness to travel for site visits and business trips as needed.
  • Strong problem-solving skills and the ability to work under pressure.
  • Positive attitude with a willingness to learn and adapt to new challenges.
