Job Description
Job Brief:
We are looking for a responsible Personal Assistant to provide personalized secretarial and administrative assistance in a well-organized and timely manner. He or she will assist on a one-to-one basis on a variety of tasks related to Executive Chairman’s working life and communication.
Job Responsibilities:
- Liaison & follow-up on all business & daily work related matters to the Executive Chairman.
- Performing secretarial function in emails, facsimiles, correspondences for the Executive Chairman.
- Screen through all the telephone calls and enquiries appropriately
- Liaison with suppliers, customers and all business contacts related to the Executive Chairman.
- Draft memos, letters, minutes & all business correspondences for the Executive Chairman.
- Arrange & schedule work appointments, meetings, travel itinerary & hotel accommodation and to handle all private & confidential matters relating to the Executive Chairman.
- Prepare written documentation, presentations & business proposals for the Executive Chairman in Excel and/or Power Point
- Gather all business research & necessary information for the Executive Chairman.
- Provide full range of confidential personal assistance to the Executive Chairman.
- Maintain a well-organised filing system that secures confidential file
- Undertake other ad-hoc functions and related duties as and when required by the Executive Chairman.
Job Requirements:
- Candidate must possess at least a Professional Certificate, Diploma, Advanced/Higher/Graduate Diploma, Bachelor’s Degree, Post Graduate Diploma, Professional Degree in any business study in a recognized institution.
- At least 3 years of relevant working experience. Proven work experience as a personal assistant.
- Knowledge of office management systems and procedures
- MS Office and English proficiency
- Well verse in organizational and time management skills
- Up-to-date with latest office gadgets and applications
- Ability to multitask and prioritize daily workload
- Excellent verbal and written communications skills
- Discretion and confidentiality
