Personal Assistant to Managing Director – Kuantan

Job Description

  • Provide full range of general administration support and duties to Director.
  • Plans, coordinates and ensure the Director’s schedule is followed and respected. 
  • Communicates directly and on behalf of the Director on matters related to Director’s programmatic initiatives.
  • Prioritizes and follow up on incoming issues and concerns addressed to the Director and determines appropriate course of action, referral and response. 
  • Provides a smooth communication between the Director with the external relations. 
  • Work closely and effectively with the Director to keep him well informed of upcoming program and keeping the Director updated. 
  • Meeting and greeting visitors at all levels of seniority. 
  • Receiving and coordinating email addressed to the Director for their perusal and action. 
  • organising and maintaining diaries and making appointments. 
  • Follow up and liase with the Director’s direct reports on operational matters. 
  • Attending and taking minutes at meetings. 
  • Dealing with incoming email, faxes and post, often corresponding on behalf of the Director. 
  • Vetting of documents prior to arrange for signature of Director. 
  • Carrying out background research and presenting finding as assigned by Director. 
  • organising and attending meetings and ensuring the manager is well prepared for meetings. 
  • carrying out specific projects as assigned by Director.
  • Liaise with authorities and responsible for the compliance in design, submission and approval of layout and related plans in order to ensure all approvals are obtained in timely manner. 
  • Liaise with consultants and responsible for the compliance in design, submission and approval of layout and related plans.
  • Update the project, design & development team on the authority requirement and status of each submission.
  • Coordinate with various stakeholder and manage the project development stage.  
  • To assist in overall planning & design for the township development with Consultants & teams to drive the right outcomes.
  • Candidate must possess at least Bachelor’s Degree/Post Graduate Diploma/Professional Degree in any field.
  • Required language(s): Bahasa Malaysia, English, Mandarin
  • At least 5 Year(s) of working experience in the related field is required for this position.
  • Preferably Senior Executive specialized in Engineering – Civil/Construction/Structural or equivalent.

  • Strong interpersonal skiils and the ability to build relationships with the external relations.
